Director of Admissions & Marketing

Location: Valley Manor Care Center - Montrose, CO

Valley Manor Care Center is looking for an Director of Admissions & Marketing who is flexible, reliable, well organized and a team player to serve as the primary facility representative facilitating the admissions process and procedure for residents and their families, facility staff and with referral sources so as to provide for ease and efficiency in the transfer of the residents to the facility.  In addition, this individual will serve as primary liaison between the facility and the community at large in marketing the facility and increasing awareness of our programs and services.  Will be responsible for coordinating admission inquiries from referral sources and the public, serving as the initial facility representative in inquiring parties for admission; and maintaining relationships with residents and responsible parties.  Partners with the Director of Social Services to ensure all objectives are met.

  • Serves as customer service representative for internal and external marketing efforts.
  • Assist Executive Director in the development of a yearly marketing plan and has primary responsibility for carrying out details of the plan. Assists in the development and implementation of marketing materials, complying with the organization’s graphic standards and messaging guidelines.
  • Supports and promotes the Volunteers of America branding campaign and fundraising efforts.
  • Serves as liaison between administration, nursing and social services when coordinating the admission process.
  • Handles referral calls and assists in the pre-screening process.
  • Responsible for communicating all admission information to concerned departments.
  • Responsible for communicating the state of admissions and the daily census to all concerned departments represented at morning report.
  • Documents all inquiries to determine number, principal referral sources and conversion percentages for telephonic and in-person inquiries. Develops statistics on operation and monthly activity of department, including admissions, discharges and inquiries.
  • Schedules facility tours for admission inquiries and serves as initial representative to inquiring parties.
  • Develops an understanding for the financial mechanisms related to each payer type to gain a clear understanding for the impact each admission has on the facility. Works with Business Office to ensure referrals have viable payer sources.
  • Will assist Executive Director with projects related to community development and awareness.
  • Coordinates resident admissions:

a. Takes pre-admission calls and manages facility waiting list as necessary.

b. Offers tours to prospective customers and admissions.

c. Conducts pre-admission screening: (1) per phone; (2) in hospital; (3) at referring facility; or (4) at home, as necessary.

d. Functions as Admissions Coordinator.

e. Arrange transportation for and greet new residents.

f. Completes admission documents and documentation with new residents and families.

Leads and directs Admission Department:

a. Plans and directs activities in the department, including goal setting.

b. Attends and participates in management committee meetings.

c.  Initiates and directs in-service training programs.

  1. Graduate from a post-secondary program, preferably social work or related degree; licensed where applicable by the State.
  2. Ability to read, speak and write fluently in English; excellent communication and phone skills.
  3. Ability and willingness to work flexible hours and on-call duties, such as during evenings and weekends, for planned activities or special events, family meetings and conferences, admission calls, admissions and tours.
  4. Negotiation skills and ability to carry on several levels of reasoning at once during problem solving sessions; ability to think quickly and to write contracts and complex written arguments.
  5. Ability to work with residents of varying levels of responsiveness.
  6. Familiarity with word processing, data processing and computer entry skills to match existing clinical management software at facility.
  7. Ability to utilize computers and other electronic devices for tasks such as timekeeping, in-servicing and documentation.
  8. Ability to perform several job functions at once.

Minimum five (5) years Human Resources and administrative experience.
